Emp 102: Day 1 Checklist

Starting a new job comes with lots of little tasks, but don’t worry — we’ve made it simple with these checklists!

Before Your First-Day Checklist

You should already have:

  • Logged into the American-Stone.com employee portal (AKA Odoo).
  • Your physical and email addresses, and your phone number, are up-to-date and correct in the portal.
  • Your banking details.
  • You’ve signed all new hire paperwork: I-9, W-4, Employee Handbook, Standard Pay Forfeiture, etc.
  • You’ve seen your Job Description and signed the Acknowledgement of Job Description.

Your First-Day Setup Checklist

Step 1 — Test your credentials

Test all the system credentials we sent you in the Welcome Aboard email to make sure you have access. This will include:

All Employees Including Portal Users:

  • Odoo/Portal (via american-stone.com)
  • NSI
  • Google Drive invitation to Shared Documents.
  • Lucid (meeting agenda software)

Internal Employees:

  • American Stone Gmail and Business american-stone.com email. Log into the gmail only, where you’ll receive and can respond from both accounts.

Managers:

  • iSolved Credentials
  • Google Drive invitation to Managers Shared Documents & Folders

We use Google Drive Tools and for this reason create a business gmail and share access to documents to that new gmail. When you create new documents, create them within these folders to grant access.


✅ Step 2 — Share Your Personal Information

We want to get to know you and make sure we have your details for our records.

  • Send a short bio to Cynthia at 801-889-5321
    (Example: “I have four kids — Justine 13, Mark 12, Mary 8, and Joseph 7. I love football and going to the movies with my family.”
  • Provide your shirt size — you’ll need this for our Rockin’ Rewards program.
  • Update your profile photo (if internal) or send this to HR (if you’re a portal user).
  • Share your favorite candy or snack.
  • Enter emergency contact information or give this to HR.
✅Step 3 — Save Important Contacts

Make sure you have the right people in your phone:

  • Your supervisor.
  • The office or store number.
  • Your assigned mentor (if applicable).
  • HR contact — Office: 801-528-9009 Cell: 801-889-5321
  • GB Care (if injured): (833) 495-1212. In notes, add: GB ID 001960. 
  • Cynthia – 801-889-5321 – is on Whatsapp as well.

Give the company (store or office) number to your spouse, partner or roommate, and let them know only to call if somehow you have an emergency that makes it to where you cannot call yourself.

You could also consider posting the company phone number in a visible location, like on your fridge. To find company numbers, visit our website and go to “Locations.” 

✅Step 4 — Payroll Timeline

All new hires should have already sent their banking details to HR with proof, like a cancelled check or bank-issued document.

All employees can review timesheets in the portal (and internal users can time “timesheet” on the back-end homescreen). This images shows what this looks like. Notice how pay periods span 2 weeks.

Sunday

  • Pay period closes (the “Date To” date).

Monday – Payroll Monday

  • A new pay period begins.
  • Final day for timesheet review and corrections.
    • Portal users: 
      • Tell your supervisor if there’s an error.
    • Internal users: 
      • Last chance to request changes.
      • Internal users must also submit their timesheet by noon.

Friday (same week)

  • Paychecks are issued by noon.

If you need to update your banking information, contact your supervisor (who will notify HR) or contact HR directly. HR will issue a new direct deposit form. For a second update, your supervisor must review and sign off on your banking proof, which can be sent to HR either by you or through your supervisor. The deadline for updates is to have a completed form by Friday prior to payroll Monday.

Paso 1 — Verifica tus credenciales

Revisa que todas las credenciales enviadas en el correo “¡Bienvenido a Bordo!” funcionen correctamente. Esto incluye:

Todos los empleados, incluyendo usuarios del portal:

  • Odoo/Portal (via american-stone.com)

  • Invitación a Google Drive para documentos compartidos.
  • Lucid (programa para reuniones)

Empleados internos:

  • Correo Gmail de American Stone y correo empresarial @american-stone.com. Inicia sesión solo en Gmail; podrás recibir y responder desde ambas cuentas allí.

Managers:

  • Credenciales para iSolved.
  • GInvitación a Google Drive para carpetas y documentos de gerencia.

⚠️ Usamos Google Drive para compartir documentos. Crea tus archivos dentro de las carpetas asignadas para que todos tengan acceso.


✅ Paso 2 — Comparte tu información personal

Queremos conocerte y mantener tu información actualizada. Asi que, por favor:

  • Envía una breve biografía a Cynthia al 801-889-5321.
    (Ejemplo: “Tengo cuatro hijos: Justine 13, Mark 12, Mary 8 y Joseph 7. Me encanta el fútbol y ver películas con mi familia.”)
  • Indica tu talla de camiseta (para el programa Rockin’ Rewards).
  • Actualiza tu foto de perfil (si eres empleado interno) o envíala a Recursos Humanos (si eres usuario del portal).
  • Comparte tu dulce o snack favorito.
  • Proporciona tu contacto de emergencia o entrégalo a Recursos Humanos.

✅Paso 3 — Guarda los contactos importantes

Agrega a tu teléfono estos números clave:

  • Tu supervisor.
  • Número de tu tienda u oficina.
  • Tu mentor asignado (si aplica).
  • Recursos Humanos — Oficina: 801-528-9009 / Celular: 801-889-5321
  • GB Care (en caso de lesión): (833) 495-1212 (Agrega la nota: “GB ID 001960”).
  • Cynthia: 801-889-5321 (también en WhatsApp).

📌 Consejo: Da el número de la empresa (tienda u oficina) a tu pareja, familia o compañero de casa, pero indícales que lo usen solo en caso de emergencia.

También puedes pegar el número en un lugar visible, como tu refrigerador. Para ver todos los números de la empresa, visita nuestro sitio web y entra en la sección “Locations”.

✅Paso 4 — Fechas importantes de nómina

Todos los nuevos empleados deben haber enviado ya sus datos bancarios a Recursos Humanos junto con un comprobante (por ejemplo, un cheque anulado o documento oficial del banco).

Todos los empleados pueden revisar sus hojas de tiempo en el portal. Los empleados internos también pueden verlas en la pantalla principal, donde aparece la opción “timesheet”.

Ahí verás cómo se registran tus horas y notarás que los periodos de pago abarcan 2 semanas.

Ciclos de pago:

  • Domingo: Se cierra el periodo de pago.
  • Lunes (“Payroll Monday”):
    • Comienza un nuevo periodo de pago.
    • Último día para revisar y corregir tus hojas de tiempo.
    • Usuarios del portal: informa a tu supervisor si ves un error.
    • Empleados internos: última oportunidad para pedir cambios y enviar tu hoja de tiempo antes del mediodía.
  • Viernes (de la misma semana): Se depositan los cheques antes del mediodía.

Si necesitas actualizar tu información bancaria, contacta a tu supervisor o directamente a Recursos Humanos. Ellos te darán un nuevo formulario de depósito directo. El plazo para cambios es el viernes anterior al “Payroll Monday”.
